Statement of Intent

Our Federation aims to ensure that all personal data collected about staff, pupils, parents, governors, visitors and other individuals is collected, stored and processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the provisions of the Data Protection Act 2018 (DPA 2018) as set out in the Data Protection Bill. This policy applies to all personal data, regardless of whether it is in paper or electronic format. 

What does GDPR mean for schools?

A great deal of the processing of personal data undertaken by schools will fall under a specific legal basis, ‘in the public interest’. As it is in the public interest to operate schools successfully, it will mean that specific consent will not be needed in the majority of cases in schools.

GDPR ensures data is protected and gives individuals more control over their data, however this means schools will have greater accountability for the data:

Under GDPR, consent must be explicitly given to anything that isn’t within the normal business of the school, especially if it involves a third party managing the data. Parents (or the pupil themselves depending on their age) must express consent for their child’s data to be used outside of the normal business of the school.

  • Schools must appoint a Data Protection Officer and be able to prove that they are GDPR compliant.
  • Schools must ensure that their third-party suppliers who may process any of their data are GDPR compliant and must have legally binding contracts with any company that processes any personal data. These contracts must cover what data is being processed, who it is being processed by, who has access to it and how it is protected.
  • It is compulsory that all data breaches, which are likely to have a detrimental effect on the data subject, are reported to the ICO within 72 hours 

The leaflet below was written when the GDPR changes were introduced, to help parents and carers understand what kind of data is kept by the school about their children, what it might be used for and what their rights regarding that data are.

Making a Request

You have the legal right to request a copy of the information we hold about you, in line with the General Data Protection Regulation (GDPR).

In order to make this request, please download the Subject Access Request (SAR) Form below, fill it in and return it to us, along with copies of information that confirms your identity.

You can apply as a third party for someone that you are responsible for, including for a child. You will need to provide proof that you are allowed to act on their behalf.

More details of acceptable types of identification documents are included in the application form.
